Total Media is looking for an Office Administrator to manage our front desk daily and to perform a variety of administrative, order processing, clerical tasks, and other duties as assigned.

What does an Office Administrator do?

As an Office Administrator, you will be the first point of contact for our entire company. The primary and most important duty is welcoming clients and guests with a friendly and positive attitude.

To be successful as an Office Administrator, you should have a pleasant personality, you should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

Responsibilities

· Greet and welcome customers as soon as they arrive at the office

· Direct visitors to the appropriate person and office

· Answer, screen, and forward incoming phone calls

· Ensure reception area is tidy and presentable, work with Zip Printing to showcase items and examples of work, keep updated Telegram editions in lobby, and work to keep the archives of past editions in storage, decorate lobby and office for holidays, etc.

· Provide basic and accurate information in-person and via phone/email

· Receive, sort, and distribute daily mail/deliveries

· Schedule classified ads, obituaries, and legal ads in The Telegram and maintain a record of filing

· Process Telegram Payments

· Work with Zip Printing processing orders, taking orders, and filling orders

· Open and close office

· Perform other clerical receptionist duties such as filing, photocopying, transcribing, faxing/scanning

· Other duties as assigned

Requirements

· Proven work experience as Front Office Representative or similar role

· Proficiency in Microsoft Office Suite

· Hands-on experience with office equipment (e.g., fax machines and printers)

· Professional attitude and appearance

· Solid written and verbal communication skills

· Ability to be resourceful and proactive when issues arise

· Excellent organizational skills

· Multitasking and time-management skills, with the ability to prioritize tasks

· Positive Customer service attitude – Customers’ needs come first

· High school degree, additional certification in Office Management is a plus
